Relocation expense reimbursement is repayment to an employee for eligible relocation costs they have paid, subject to the employer's policy, documentation requirements and approval process.

In plain English

You pay an expense, submit the required evidence, and receive payment for the approved amount. A receipt proves spending; it does not by itself prove the expense is covered.

Reimbursement, lump sum and direct billing

  • Lump sum: a specified cash benefit; documentation conditions depend on the program.
  • Reimbursement: repayment of eligible actual spending after the employee pays.
  • Direct billing: the supplier invoices the employer or administrator under an authorized arrangement, rather than the employee seeking repayment.

One relocation package can combine these methods. Confirm the method for each service to avoid paying an invoice that is already being handled elsewhere.

TRE submission checklist:

  • Confirm covered categories, spending limits and any advance approval.
  • Keep an itemized invoice, proof of payment and the approval record.
  • Use the designated submission channel and meet the policy deadline.
  • Record the expense date, currency and purpose; ask how currency conversion is handled.
  • Track approval, rejected items and payment status. Keep enough cash available for the expected processing period.

Common misunderstanding

An approved move is not approval of every expense. If the service changes, request the appropriate exception before committing to additional costs. Reimbursement is also distinct from a claim against a mover for loss or damage.
