Condition Report
A condition report documents the observable condition of an item, property, or shipment at a defined point in time.
In plain English
It records scratches, dents, wear, damage, or other visible conditions before or during handling.

Condition documentation helps distinguish pre-existing conditions from damage alleged to have occurred during moving or storage.

Responsibility and handoff
As a practical recordkeeping standard, identify the item, date, location and person making the observation. Describe the affected area precisely and connect any photographs to the same item identifier used on the inventory. At the next handoff, record new observations without overwriting the earlier record.
Common misunderstanding
A condition report records observations; it does not by itself establish when damage occurred, who is responsible or what compensation is due. An inventory condition notation and a separate property-condition report may serve different purposes. A photograph is more useful when the item, location and timing are clear.
