# Employer-Paid Move: Lump Sum, Allowance or Reimbursement?

An employer-paid move may provide a fixed lump sum, a broader relocation allowance, reimbursement after approved expenses, or services arranged directly by the employer or a relocation provider. Before booking, confirm the covered costs, who may choose providers, when money is paid, which receipts are required, how exceptions are approved, and whether your employer identifies any tax or payroll consequences.

The benefit amount and the mover's estimate answer different questions. Your employer's program explains what support may be available. The mover's documents explain the shipment, services, price terms and responsibilities you are agreeing to.

## Start With the Written Program

Do not rely only on the name of the benefit. Employers may use terms such as *lump sum*, *allowance* and *reimbursement* differently.

Ask for the current written policy, assignment letter or benefit summary and identify:

- the covered employee and household members;
- the eligible origin, destination and move dates;
- the expenses or services included and excluded;
- who may select and contract with providers;
- the payment schedule and required documentation;
- approval authority for exceptions or scope changes;
- deadlines for booking, submitting expenses and returning unused funds; and
- the employer contact responsible for resolving questions.

If the written program and a verbal explanation conflict, ask the employer or program administrator to clarify the rule in writing before you commit money.

## How the Main Funding Models Differ

These models can overlap. A program might arrange the household-goods move directly while using an allowance or reimbursement for travel, temporary lodging or other transition costs.

## The Benefit Is Not the Moving Quote

A benefit amount does not tell you whether a mover's price is binding, non-binding, hourly, weight-based, distance-based, cubic-foot-based or subject to added services.

Give each mover the same shipment, access and service information. Then compare:

- the company responsible for transporting the goods;
- the inventory or survey used to prepare the estimate;
- the pricing method and price commitment;
- packing, storage, access and specialty-item services;
- protection or valuation selection;
- deposit, cancellation and refund terms;
- pickup and delivery expectations; and
- how scope or price changes will be documented.

## Who Has Authority to Book or Change the Move?

Write down the answer before signing anything.

The employee, employer, relocation management company and mover may each control different decisions. Confirm:

1. Who selects the mover?
2. Who signs the moving documents?
3. Who pays the deposit or initial charge?
4. Who can approve packing, storage, access work or other added services?
5. Who receives revised estimates or change documents?
6. Who pays an amount that exceeds the approved benefit?
7. Who handles a cancellation, delay, claim or provider dispute?

An approval process that exists only in someone's inbox or memory is difficult to follow when dates or scope change. Keep the named contacts and written approvals with the move file.

## Documents to Keep Together

Maintain two related but separate records.

### Employer-benefit records

- program or policy document;
- assignment or eligibility notice;
- benefit amount and covered categories;
- approvals and exception decisions;
- expense submissions and receipts;
- reimbursement confirmations; and
- employer or program-administrator correspondence.

### Moving-service records

- estimate and survey or inventory;
- order for service and Bill of Lading;
- protection or valuation selection;
- deposit and payment records;
- change-of-scope or revised-estimate documents;
- pickup, storage and delivery records; and
- photographs, correspondence and claim materials if a problem occurs.

## Confirm Payroll and Tax Treatment With the Responsible Source

Do not assume that an employer-paid moving benefit is tax-free because the employer calls it a reimbursement or allowance.

The IRS's 2026 employer guidance says the federal exclusion for qualified moving-expense reimbursements has been permanently eliminated for most employees, while limited exclusions remain for qualifying active-duty Armed Forces moves and certain intelligence-community assignments. Employer payroll treatment and an employee's individual consequences depend on current law and the specific program. Review the employer's written explanation and consult an appropriate tax professional when needed.

## Frequently Asked Questions

### Is a relocation allowance the same as the mover's estimate?

No. A relocation allowance describes employer support under the employer's program. A mover's estimate describes proposed moving services and price terms. Compare and retain both.

### Can I choose any mover if I receive a lump sum?

Not necessarily. Some programs give the employee broad discretion; others impose eligibility, provider, insurance, documentation or approval requirements. Check the written program before paying a deposit.

### What if the move costs more than the employer benefit?
