## Condition Report

A **condition report** documents the observable condition of an item, property, or shipment at a defined point in time.

### In plain English

It records scratches, dents, wear, damage, or other visible conditions before or during handling.

### Why it matters

Condition documentation helps distinguish pre-existing conditions from damage alleged to have occurred during moving or storage.

### Who this affects

Customer · Surveyor · Packing and loading crew · Driver · Warehouse · Delivery crew · Claims reviewer

### Where this sits in the move

Before handling → Pickup → Storage or custody transfer → Delivery → Claims review

### Responsibility and handoff

As a practical recordkeeping standard, identify the item, date, location and person making the observation. Describe the affected area precisely and connect any photographs to the same item identifier used on the inventory. At the next handoff, record new observations without overwriting the earlier record.

### Common misunderstanding

A condition report records observations; it does not by itself establish when damage occurred, who is responsible or what compensation is due. An inventory condition notation and a separate property-condition report may serve different purposes. A photograph is more useful when the item, location and timing are clear.

### TRE common-language definition

> **Condition Report:** A dated record of observable item or property condition used to support handling accountability and claims review.

**Primary consumer guidance:** [FMCSA — Pickup of My Shipment of Household Goods](https://www.fmcsa.dot.gov/protect-your-move/how-to/subpartE?ref=relocationecosystem.com) explains how inventory records document item condition for U.S. interstate household-goods moves. It advises checking condition entries before signing, noting disagreements and keeping a copy.

**TRE operating practice:** The broader condition-report definition and handoff guidance here are a practical framework, not a claim that every service requires the same form. Rules, contracts and documentation procedures vary by move type. See [Sources & Evidence](https://relocationecosystem.com/sources-evidence/).

### Put it into practice

Before handing an item over, ask where its condition is recorded and how you will receive a copy. If an observation differs at delivery, preserve both records and follow the applicable reporting process.
