# Apartment and Rental Moving Checklist: Parking, Elevators, Access and Handover

**A booked mover and a confirmed address do not mean a building is ready for the move.** The crew still needs a workable route from the vehicle to the home, permission to use it, and enough time to finish within the building’s arrangements.

Use this checklist for the home you are leaving and the one you are entering. It is a coordination tool for residents, helpers and building contacts. Your lease, property rules, service agreement and local authority determine the requirements that apply.

## Get the Rules From Both Properties

Ask each property manager, landlord or building contact for the current written move instructions before you finalize the booking. Record the person who confirmed them and the date.

- Permitted moving days and hours, including any weekend or holiday restrictions.
- How to reserve a loading area or service elevator, and whether a request is actually confirmed.
- Which entrance, corridor and elevator the crew must use.
- Any required documents, insurance evidence, deposits, fees or protective materials.
- Who provides keys, access credentials and an on-site contact.
- How the building handles delays, cancellations, damage reports and incomplete moves.

Send the exact requirements to the moving company for review. If a building requests insurance documentation, ask the provider to supply it through the appropriate channel and confirm that the building accepted it. Do not assume “sent” means “approved.”

## Check the Route, Not Just the Front Door

Describe the full route from the proposed parking position to the rooms where the items will go. Include steps, ramps, gates, turns, doorway clearances, elevator dimensions, long corridors and restricted loading areas. Provide measurements or photographs when appropriate and permitted.

Ask the mover to assess items that may not fit, rather than waiting for the crew to discover the problem. Obtain a written plan for any special handling. Do not authorize removal of building fixtures, use of balconies or other unusual handling without the necessary qualified assessment and permissions.

## Separate Building Permission From Street Permission

A building’s loading reservation does not establish permission to occupy a public street or sidewalk. Identify who controls the proposed space and ask the relevant authority about applicable parking, loading or temporary-occupancy arrangements.

Ask who will arrange any permission, when it must be confirmed, how the space is identified, and what to do if it is unavailable. Never assume that placing personal cones or a homemade sign creates a lawful reservation. Confirm a workable alternative with the provider if the planned space cannot be used.

## Match the Moving Window to the Building Window

Put these times together before confirming the plan:

- When the property makes the keys or loading access available.
- When the truck and crew are expected to arrive.
- When the elevator reservation begins and ends.
- When loading or unloading must stop.
- When the vehicle or container must leave.

If a provider offers an arrival or delivery range, check whether it fits the property’s fixed reservation. Ask what happens if it does not. Keep the dispatcher, building contact and person authorized to approve changes in the same coordination plan.

## Record Move-Out and Move-In Separately

For move-out, confirm the inspection arrangements, cleaning expectations, key-return process, utility dates and where the property should send later correspondence. For move-in, confirm possession, condition-record procedures, service activation and how to report an existing defect.

Where permitted, keep dated condition photographs and written acknowledgments. A moving checklist cannot decide a security-deposit dispute or replace local tenant rules. Seek the relevant official housing guidance or qualified advice when an obligation is unclear.

## A Simple Access Confirmation Record

Copy these lines into your move file for each address:

Share only the access details each participant needs. Keep passwords, private entry codes and personal records out of publicly shared documents.

## If Something Changes on Moving Day

Pause the affected work and establish what changed. Ask the building contact and provider for a workable plan. Have the authorized person review any revised scope, timing or charges before work proceeds, and retain the written record. Do not let a rushed workaround become an unrecorded agreement.
